This position reports to the Organized Play Event Manager. Why us? This position supervises all Pro Tour related player inquiries, ratings runs and invitations, working closely with Organized Play event management, Event Properties management and all country sector leads to maintain player eligibility and handle format related questions for up to 350 players per event; coordinates and manages on-site player registration. The Pro Tour Player Coordinator must maintain clear internal communication lines with DCI Services Data Support, DCI Services Sanctioning, Event Properties, and Tournament Management in order to streamline player invitations and inquiry processes. This position has regular external contact with WotC international offices, international tournament organizers and distributor/tournament organizers in the effort to update and correct master invitation lists as well as answering all player issues directly related to the Pro Tour invitation policy. Job Duties Essential Functions / Major Responsibilities: Performs as lead for all player inquiries regarding Pro Tour invitation paperwork, dissemination of tournament specifics and ratings questions. Creates and manages the Pro Tour master invitation list inclusive of all applicable Gran Prix and DCI ratings based invitations; general maintenance and specific player data base up-dates. Provides on a set schedule to On-line, Org Play, Marketing and P.R. with, among more specific inquiries, all departmental requests for professional standings, Player and Rookie of the Year races, event standings, lifetime earnings and seasonal earnings lists. Compiles tournament and site information for each stop to create player invitation packet, coordinating with the Pro Tour Manager, the Org Play Events Manager, Tournament management, and Production to implement the development of these packets with applicable art, and thoroughly correct tournament and site information. Distributes packets to all invitees in a timely manner and creates a tracking system for these packets in order to assist players with their invitation inquiries. Collects, files and tracks in a timely manner all player waiver and registration paperwork. Sets up file system per stop to organize incoming paperwork so that the system can transfer to actual on-site registration with a minimum of system changes. Aggressively follows up with players, country sector leads and international offices for complete player contact information. Supplies Organized Play, P.R. and Marketing with updated player biographical information; communicate players of interest and regional player potential to these departments for each stop in order to develop media interest; supplies all appropriate WotC international offices with up to date player information. Performs as on - site player registration manager. Responsibilities include: up to date and thoroughly correct master invitation lists, filed registration paperwork with registration system in place, player badges and shirts, badge correction system; coordination with Pro Tour Manager for assignment of registration staff, layout design and installation of registration area to facilitate efficient traffic patterns and expedites the registration experience for 350 + players per event. Responsible for verifying all winner lists that impact any given master invitation and coordinating with Event Properties for player check-runs. Secondary Functions: Assists with all pre/post pack-outs. Performs on-site assignments as detailed by Organized Play Events Management. Assists the Pro Tour Show Manager and Organized Play Event Manager with additional event organization as needed. Qualifications 2 years experience working in a detail oriented environment. Excellent people skills. Able to travel 30% to 40% of the time (some international). Education and Training: Minimum 2 year degree preferred. Prior Related Experience: Bi-lingual or multilingual a plus. Knowledge, Skills and Abilities: Must be extremely organized and detail oriented. Good team work skills required. Ability to work effectively with people from different cultures worldwide Excellent verbal and written skills required. Proficiency with Microsoft Word and Excel required. Knowledge of File Maker Pro preferred. Ability to work without constant supervision; very strong initiative and follow -up skills required. Understanding of Wizards of the Coast games and Organized Play tournament structures preferred.
